The majority of group settings determine how the Booking screen is displayed to members of the group.

Provided you have admin permissions for the group, you can use the View/Amend Admin Group and View/Amend User Group menus to:

Add an account to the group or remove an account from the group.
Edit the settings for each account in the group.

Within the limits of the inherited (default) account settings you can add/remove/constrain the options available to bookers.

Customise the Booking screen's field labels.
Change Booking Codes.

As booking codes are specific to an account, any group with access to the selected account uses the same booking codes. When they are modified, the change affects all groups that use the account.

 

If you are unable to see some of the items described below, it indicates that the account has not inherited those settings from the admin group above.

Description

Booking Permissions

Default

When ticked, this Booking Type or Service/Vehicle Option is the default (highlighted) choice when the Booking screen opens.

The booker can change it, provided other options are available.

Field Name

In the Screens and Field Controls panel this is the non-editable name of the Booking screen panel that is associated with this field. It may include a code for each Booking Type:
oSD: Single Delivery Address
oMD: Multiple Collection/Delivery Address
oWAR: Wait and Return
In the Booking Codes panel, this is the editable equivalent of a New Field Label. This is where you can change the booking code label which is displayed in the Booking screen.

Default Field Label

These field names are inherited from the default settings.

You can change the labels in the Screens and Field Controls panel -  refer to New Field Label below.

which enables administrators to change the default field label. The customised labels are displayed in the Booking screen.

NOTE: ensure that the newly labelled field requires similar data to the original field since the Booking screen's field constraints are unaffected by changes to the field label. For example, you could change the label Contact Number to Sender's Postcode but the field would still accept a maximum of 12 characters, 0-9 + and no spaces.

New Field Label

Administrators can change all the field labels in the Screens and Field Controls panel.

To change the Booking Codes labels, go to the Booking Codes panel. When you modify the label, the updated version is displayed in the Screens and Field Controls panel (the default labels are Reference and Department).

Edit Helptext

Click this button to edit the content of the floating Help panel.

Editing the content will overwrite the default helptext.

You can use simple HTML markup such as <b>, <i>, <u>, <ul>, <ol> and <li>. However, content is limited to 0-256 characters including the tags.

Booking Codes

Enter Booking Codes (List)

This button is active only if the Booking Code is a List.

Click the button to either manually type in a list of booking codes or load a .CSV file of booking codes.

NOTE: if you replace/change the booking codes for an account, all groups that are associated with the account have to use the new codes.

Field Type

Applies to Booking Codes (both fields).

For each booking code field, select an option from the dropdown list:

List - requires you to create a list of booking codes which are represented as a dropdown list in the Booking screen. Refer to Enter Booking Codes above.
Text - allows the booker to type in keypad characters. Select Validation if the user input has to conform to specific standards and then set up Validation Rules accordingly.

General Settings

Lock

This tick box applies exclusively to the Show Deliver By Time field. When ticked, this field is displayed in the Booking screen and bookers cannot complete a booking without selecting a Deliver By Time.

If the account inherits the Locked setting as default, the administrator cannot change it in any of the User/Admin Group screens.

All panels except Booking Permissons

Mandatory

If the account inherits a mandatory setting either as a default setting or from an admin group upstream, it cannot be changed to optional in any of the User/Admin Group screens downstream.

If the field is optional, you can tick the checkbox to ensure it is displayed and to make it mandatory.

Show

Applies to optional fields (not mandatory fields).

If ticked, the field is displayed in the Booking screen.

Show Helptext

If ticked, users can see the floating (right-hand) help panel.

Validate

Applies to Booking Codes (both fields).

If you tick Validate, you must provide validation rules for the Booking Codes using the buttons in the Booking Codes panel.

If the Validate checkbox is not ticked, and the Field Type is Text, the booker can enter free text which is only limited by the field constraints: Department: 0-30 characters. Reference: 0-12 characters

This button is active only if you defined the Booking Code as Text in the Field Type dropdown list.

Click to set up rules for validating users' input .

Notification Permissions

Value

Applies to Max. No. of Email Addresses, Max. No. of SMS Addresses and Total No. of Additional Drop Addresses.

Administrators can decrease the Max. No... but cannot exceed its default setting.

If editable, you can enter a number that puts a constraint on individual bookings:

The maximum number of email addresses to which notifications can be sent during a single booking cycle.
The maximum number of mobile numbers that can be stored in order for SMS notifications to be sent during a single booking cycle.
The overall number of addresses for additional deliveries.
