An administrator is a special type of user who have admin privileges because they are assigned to an group - this gives them access to the menu.
Admin privileges permit administrators to:
| 1. | Control other users'/administrators' access to the , and menus by setting up user and admin groups that satisfy the business need. |
| 2. | Give individuals access to the system by creating and managing users and administrators in the SameDay online booking system. |
| 3. | Set up linked fields that enable bookers to fill in the screen rapidly, using pre-populated data. |
| 4. | Set up security questions to protect access to the screen. |
| 5. | Add or change the company branding on any screens associated with the administrator's account(s). |
| 6. | Create and maintain account global address books for use by bookers. |
| • | An admin group's settings determine the accounts, screens and options which can be accessed by administrators in the group. Administrators can pass on the same permissions or a subset of these permissions to groups that they create or amend. |
| • | Individual administrators can amend or delete admin/user groups which they created themselves or which were created by another administrator in the same admin group. |
For example, anyone in admin group X can amend or delete a group created by another member of admin group X. (A group cannot be deleted while there are users/administrators assigned to the group).
| • | When setting up or amending groups, administrators use the menu options to refine inherited account settings in line with business need and control the options available in the screen for any given account. |
| • | Generally, if a setting is not mandatory by default, the administrator can hide, show or make it mandatory for particular groups, as required. |
|
| • | Administrators can create and modify users/administrators using a .CSV file and the bulk upload functionality. |
| • | Users/administrators can be deleted on an individual basis only. |
Users who have made bookings that are still active (have not been completed) cannot be deleted. If, for example, a user who leaves the company has some active bookings, it is recommended that the user is blocked using the or menu.
Some user groups have Confidentiality Permissions that allow all the users in the same group to access each other's bookings.
| • | Administrators are responsible for assigning individuals to the user or admin group that matches individuals' business functions. |
| • | An administrator who needs to move users from one group to another has to have admin privileges for both groups. If not, the administrators of the two groups have to coordinate the removal of the user from one group and assignment to another group. |
| • | The administrator of a given admin/user group is responsible for unlocking those individuals who get locked out of the system because they exceeded the three allowed attempts to answer security questions correctly. (Security questions are set for the screen only). |
| • | The administrator of a given admin/user group can block or enable individuals through the and menus. When blocked, an individual cannot log into the system until the administrator enables their user ID. |
