The following panels are available from the Add or View/Amend Group screens.

Throughout the application, an asterisk * indicates that a field/button is mandatory for the given screen.

Some options listed below may not be available. Why?

Screen Access Permissions

Panel item

Description

Screen Access Permissions

This panel contains check boxes that, if ticked, correspond to the screens that will be available to any member of this group.

Booking

Enables the group to use the Booking screen to create and confirm bookings.

When ticked, the Quote Only check box is automatically ticked as well.

Quote Only

If the quotes are intended for information only, Quote Only should be ticked and Booking should be left unticked.

However, if the quotes are likely to be activated, tick the Booking check box so that BOTH Quote Only and Booking are selected.

Block Bookings

NOT AVAILABLE IN THIS RELEASE.

Enables the group to use the Block Bookings screen (to create multiple / repeat bookings).
NOT AVAILABLE IN THIS RELEASE.

Reports

Enables the group to use the Reports screen to request booking data about individual and multiple accounts.

Admin

Only accessible to admin groups. Provides menus for:

Global Address Book management
Security Question setup
Linked Fields setup
Group, Administrator and User management.

 

Booking Permissions

Booking Permissions

This panel displays the services and vehicles that have been inherited from the admin group above and are therefore available to this admin group for:

making bookings
cascading to any admin or user groups that are created.

Every booking account must have at least one Booking Type and one Service/Vehicle option ticked as well as one Default selected in each section.

Booking Type -
Single Address Delivery

May/may not be available depending on the inherited settings.

Defined as pickup at location A and drop-off at location B.

Acronym: SD

Booking Type - Multiple Address Delivery

May/may not be available depending on the inherited settings.

Offers the flexibility of multiple pickup and drop-off locations per booking. The limits are set in the General Settings panel, Total No. of additional Drop addresses option (further down this screen).

Acronym: MD

Booking Type -
Wait and Return Delivery

May/may not be available depending on the inherited settings.

A round trip where items are collected from and delivered to locations A and B and includes the courier waiting at location B before returning to location A. Waiting time is charged as detailed in contracts/SLAs.

Acronym: WAR

Service Option - SameDay Courier and SameDay Priority

Depending on the inherited settings, there may be several services, with associated vehicle options, available.

Some accounts also have SameDay Priority options. This provides bookers with the option of converting a normal SameDay Courier booking into a priority booking before confirming it.

Vehicle Options

Vehicle options are determined by settings inherited from the admin group above and are normally a subset of CitySprint's standard transport.

 

Screens and Field Controls

Description

Booking Details

 

The options in this section define the fields and field names of the Sender Details panel in the Booking screen (for the currently selected account).

The check boxes are described in Group screen - generic items

The fields in this panel may:

have inherited different field names
be available (or not) depending on the inherited settings.

Administrators can rename fields but field value constraints remain unchanged.

Use My Details

When shown, this option is displayed as a check box in the Booking screen. Bookers can tick it to apply their own personal details to the sender role.

Sender Name

When shown, this option is displayed as a text box in the Booking screen.

By default, it holds the sender's first and last name; this data is defined in the MY PROFILE, Set Up Sender Details menu. Bookers can overtype the default data.

Contact Number

When shown, this option is displayed as a text box in the Booking screen; it accepts numeric values and + (plus) only.

By default, it holds the sender's phone number; this data is defined in the MY PROFILE, Set Up Sender Details menu. Bookers can overtype the default data.

Email Address

When shown, this option is displayed as a text box in the Booking screen; it accepts data in valid email format only.

By default, it holds the sender's email address; this data is defined in the MY PROFILE, Set Up Sender Details menu. Bookers can overtype the default data.

Booking Codes Details

 

Reference

When shown, this is one of two booking code fields that are displayed in the Booking screen.

The Field Name and Field Type are defined in the Booking Codes panel further down this screen.

If you need users to enter business-specific data it may be useful to customise the online help for the field - click and overwrite the default helptext (field constraints remain unchanged).

Department

When shown, this is one of two booking code fields that are displayed in the Booking screen.

The Field Name and Field Type are defined in the Booking Codes panel further down this screen.

Collection / Delivery / Address Details

Description

Collection and Delivery Panels

Collection details have to be set up for all Booking Types. However, not all the fields are relevant to every Booking Type.

The fields in this panel may:

have inherited different field names
be available (or not) depending on the inherited settings.

Administrators can rename fields but field value constraints remain unchanged.          

Recent Addresses

When shown, this is displayed as a dropdown list in the Booking screen, Collection panel(s).

The list is gradually populated with addresses that bookers apply to bookings which are then saved.

Building Name/No.

This data, together with Postcode and Collection Date/Time is key data - bookings cannot be confirmed without it.

This field is therefore mandatory and its purpose and field constraints remain unchanged even if it is renamed. It is displayed as a text box in the Booking screen.

Postcode

This data, together with Building Name/No and Collection Date/Time is key data - bookings cannot be confirmed without it.

This field is therefore mandatory and its purpose and field constraints remain unchanged even if it is renamed.  It is displayed as a text box in the Booking screen.

Contact Name

When shown, this option is displayed as a text box in the Booking screen. When renamed, its field constraints remain unchanged.

Contact Number

When shown, this option is displayed as a text box in the Booking screen; it accepts numeric values and + (plus) only. When renamed, its field constraints remain unchanged.

Instructions

When shown, this option is displayed as a text box in the Booking screen. When renamed, its field constraints remain unchanged.

Save to Address Book

When shown, this option is displayed as a check box in the Booking screen.

When the booking is confirmed, the address is saved to the logged-in user's address book. Users can give the address a name through the My Profile, View/Amend Address menu.

Ready Now

or

Pre-Book

When shown, these options are initially displayed as check boxes in the Booking screen. Once the booker selects

Ready Now, the system populates the collection time and date.
Pre-Book, the system displays a calendar and dropdown list for the booker to specify the collection date and time.
Collection Date / Collection Time

This data, together with Building Name/No and Postcode is key data - bookings cannot be confirmed without it.

These fields are therefore mandatory and their purpose must remain unchanged even if they are renamed.

Total No. of Items

When shown, this option is displayed as a dropdown list in the Booking screen.

This value specifies the number of items to be collected at the address specified in the same panel, irrespective of the booking type.

Size of Largest Item

When shown, this option is displayed as a dropdown list in the Booking screen.

The list is automatically populated with items of different sizes.

Description of Items

When shown, this option is displayed as a text box in the Booking screen. When renamed, its field constraints remain unchanged.

The purpose of the field is to provide information about anything that might impact the service, such as unusual shapes or weight-size ratio.

Add Item Information

When shown, this option is displayed as a button in the Booking screen and opens a popup.

This permits/requires users to provide details about every item, including a name, weight and dimensions. Some accounts may require an internal bar-code or item reference and administrators should change the labels in the group screens as appropriate.

The more information that bookers can provide, the more likely it is that CitySprint allocates a vehicle that is closely matched to the load.

When the Add Item Information button is shown, the system also displays the Select Item button.

oItem Name

This option is displayed as a text box in the Item(s) Information popup.

Bookers should identify individual items by name, bar code or other reference, as required by internal business processes.

oWeight (kg)

This option is displayed as a text box in the Item(s) Information popup.

Bookers should include the weight as required by internal business processes. Weight is always measured in kilograms.

oWidth

This option is displayed as a text box in the Item(s) Information popup.

Bookers should include the width as required by internal business processes. Dimensions are in  centimeters.

oLength

This option is displayed as a text box in the Item(s) Information popup.

Bookers should include the length as required by internal business processes. Dimensions are in  centimeters.

oHeight

This option is displayed as a text box in the Item(s) Information popup.

Bookers should include the height as required by internal business processes. Dimensions are in  centimeters.

Select Item

When shown, this option is displayed as a button in the Delivery/Address Details panels of the Booking screen and opens a popup entitled Available Items which has a check box for each item - it applies to Multiple Delivery Address bookings only.

Bookers should tick the check box for each item that has to be delivered to the address specified in the current panel.

 

 

Booking Codes

Booking Codes

For invoicing and auditing purposes, up to two Booking Codes can be specified per account. They are usually renamed to match the business requirements.

Changing the field label

If the "Reference"/"Department" booking code is shown (in the Screens and Field Controls panel), you can change the field label from this panel. The new field name is displayed in the Screens and Field Controls panel and in the Booking screen (when you save the group settings).

Controlling user input

You can also select how bookers have to enter the code in the Booking screen:

Text - this means that bookers have to type in data into a text box in the Booking screen. You should click Validate Rules to set up a rule which the system can use to check the users' input. If the user input does not fit the rule, an error is displayed and the booking will not be confirmed until the booker corrects the data.
List - this means that bookers see a dropdown list in the Booking screen. Click Enter Booking Codes to set up the content for the dropdown list. You can use a .CSV file to upload a list of booking codes (and replace existing codes) quickly.

 

Notification Permissions

Notification Permissions

Allows bookers to set up notifications when key events in the booking cycle are completed for the selected account.

Max. No of Email Addresses

The total number of possible email notifications for Bookings made on the selected account (includes all events). Bookers have to enter the email address(es) in the Booking screen.

oBooked

Tick to give the booker the option of setting up a notification email. The email(s) is sent to the addresses provided by the booker in the Booking screen when the booking is confirmed.

oCollected

Tick to give the booker the option of setting up a notification email. The email(s) is sent to the addresses provided by the booker in the Booking screen when the courier has collected all the items.

oDelivered

Tick to give the booker the option of setting up a notification email. The email(s) is sent to the addresses provided by the booker in the Booking screen when the courier has completed the delivery.

Max. No. of SMS Addresses

The total number of SMS notifications (to mobiles) which can be sent per Booking made on the selected account (includes all events).

oBooked

Tick to give the booker the option of setting up a notification SMS. The SMS is sent to the mobile number(s) provided by the booker in the Booking screen when the booking is confirmed.

oCollected

Tick to give the booker the option of setting up a notification SMS. The SMS is sent to the mobile number(s) provided by the booker in the Booking screen when the courier has collected all the items.

oDelivered

Tick to give the booker the option of setting up a notification SMS. The SMS is sent to the mobile number(s) provided by the booker in the Booking screen when the courier has completed the delivery.

 

General Settings

Show Deliver By Time

When set for an account, this setting may be inherited as Show or Locked. If Locked, the administrator cannot deselect this value and it .

When ticked, the Booking screen for bookings made on this account will include a Deliver By panel. This allows bookers to delay the Deliver By time which is proposed by the system.

Upgrade Option

Downgrade Option

When they are set for an account, the Booking Summary screen (after the booking information has been validated by the system) provides an Upgrade/Downgrade Option.

The alternative Service Option and quotation are based on data such as Booking Type, Total No. of Items and location information. The booker is not obliged to accept the alternative.

NOT AVAILABLE IN THIS RELEASE.

Total No. of Additional Delivery Addresses

If available, this value may be set to Lock for the given account.

If it is not locked, the administrator may modify the maximum number of delivery addresses which can be applied to Multiple Delivery Address bookings against the selected account (the minimum is 2).

If the account has inherited a maximum value, the administrator can decrease the value but not increase it.

 

Confidentiality Permissions

Confidentiality Permissions

Confidentiality permissions for an account are inherited through the group hierarchy and can be set up from any of the group administration screens. If they are available for editing by the logged-in administrator, they include:

Show Price on Job Summary

When ticked, the cost of the booking is included in the Booking Summary page (before the booking is confirmed).

Show Price on Bookings

When ticked, the cost of the booking is included in the Booking Confirmation page.

Share Booking Information between users in the user group

When ticked, all the members of the group are able to view, amend, delete and confirm bookings made by any individual user in the group.

Show Download Reports Option

When ticked, a  Download CSV  button is included in the Reports screen. Any report generated by the group can be downloaded as a .CSV file.

Show Pick Up Time on Reports

When ticked, reports which are generated from the Reports screen for the selected account(s) include the booking collection time.

Show POD Time on Reports

When ticked, reports which are generated from the Reports screen for the selected account(s) include the booking's POD (Proof of Delivery) time.

Show POD Name on Reports

When ticked, reports which are generated from the Reports screen for the selected account(s) include the name of the individual who signed for the booking's POD (Proof of Delivery).

Show Price on Reports

When ticked, reports which are generated from the Reports screen for the selected account(s) include the cost of the booking.

Show Deliver By Time on Reports

When ticked, reports which are generated from the Reports screen for the selected account(s) include the booking's delivery deadline.

Show Book Time on Reports

When ticked, reports which are generated from the Reports screen for the selected account(s) include the time at which the booking was confirmed.
