Adding/editing a personal address list

When making bookings, you can use addresses from three sources:

your personal address list (stored in MY PROFILE, associated with one or more account(s) and only accessible by you).
the global address list (which your administrator has set up for all your accounts).
a new address that you type into the Booking screen.

Before you start

1.You can only create addresses for the accounts which you can access.
2.You can set up your personal address list in MY PROFILE in one of two ways:
oadd addresses one by one (first procedure below).

OR

oadd several addresses at a time using a .CSV file (second procedure below).
Adding addresses one by one
1.Select MY PROFILE > Address Book > Add New Address.
2.Go to the Account Details panel.
3.Do ONE of the following:
oTick Apply to All Accounts.
oHighlight one account.
oSelect several accounts (hold the CTRL button down and highlight individual accounts with the mouse).
4.Go to the Address Details panel and type an easily recognisable name for the new address in the Address Name field.
a)If you know the address, type in the Postcode. If not, go to the next step.
oType the building name or house number and the road into the Building Name/No. field.
oClick Validate.
oHighlight the radio button for the matching address and click Select.

Validating an address allows us to confirm the booking and map the address to GPS co-ordinates for our couriers. Entries in your Address Books only have to be validated once.

Occasionally, the system may not be able to validate an address; contact your service centre for assistance.

b)If you don't know the postcode, click Postcode Unknown and fill in the mandatory fields.

The name of the Town is optional, but we recommend that you include it. (It speeds up the search and produces a shorter list of potential matches.)

i.Find the matching address and click Select.

Occasionally, the system may not be able to find the address you require; contact your service centre for assistance.

5.When you have finished, click one of:

Save (save and stay on the same page) / Save & Close (save and leave the page) / Close (cancel the changes).

Setting up lots of addresses quickly using a .CSV file
1.Select MY PROFILE > Address Book > View/Amend Address.
2.Click Search

OR

Narrow down the search results by typing the full name into any of the search filter fields and then click Search

OR

If you only type part of the name/number into a field, use the asterisk wildcard.

3.Click Download CSV File and save the file in preparation for editing it.

This requires your administrator to have added at least one address to each of your accounts.

4.Go offline, edit the .CSV file as necessary in Excel (do not change the order of the columns), and save it in CSV (comma delimited) format.
5.Select MY PROFILE > Address Book > Add New Address.
6.Click Browse, find the updated .CSV file, highlight it and click Open.
7.Click Upload Address List.

The system displays various status messages at the top of the screen following the upload.

Addresses that are uploaded via .CSV, need to be validated either when you use them in a booking or as shown in the procedure below.

How to validate addresses

Addresses that have been uploaded using a .CSV file have to be validated individually either as shown here, or at the time you include the address in a booking.

1.Select MY PROFILE > Address Book > View/Amend Address.
2.Click Search.

OR

Narrow down the search results by typing the full name into any of the search filter fields and then click Search

OR

If you only type part of the name/number into a field, use the asterisk wildcard.

3.Identify a non-validated address in the table of results, and click Amend.
4.In the Address Details panel, click Validate.
5.Highlight the radio button for the matching address and click Select.

Occasionally, the system may not be able to verify the address; if this occurs, contact your service centre for assistance.

6.Click Save.
7.Repeat these steps for each address that has not been validated.
