All users of SameDay online are identified by a unique email address (used for their login ID) and staff reference number.
How access is controlled
Groups are used to define every aspect of individuals' access to SameDay online, including the screens, booking options and accounts that are visible to members of the group.
An individual can belong to only one group at a time and all the members of a group have equal privileges:
| • | Individuals who are assigned to user groups are users. |
| • | Individuals who are assigned to admin groups are administrators - a special type of user with administrator privileges. |
SameDay online users can be created in the system but the individuals are unable to log into the system until they are assigned to a group (by that group's administrator).
Changes to user status
Users and administrators can be created and modified in batches (using .CSV file upload) and deleted through the ADMIN menu.
Individuals can be moved out from one group and assigned to another; for example, when staff change roles or are given different responsibilities in the organisation. When people are moved from one group to another the system sends an automatic notification to every individual concerned to inform them that the system has recorded a change of details for their user ID. Administrators can block individuals or groups through the appropriate View/Amend menu and remove their ability to log into SameDay online. If a group is blocked, none of the individuals who are assigned to the group are able to log into the system. All the user IDs and passwords remain unchanged and can be used for logging into the system as normal once the individual or group is Enabled by the administrator |

A user ID is locked as a result of failing to correctly answer (in three attempts) all the security questions which have been set for an account. The administrator is automatically notified about the user's locked status and has to unlock the user's status through the ADMIN, Unlock User/Reset User menu. |

A user who is logging into the system has three consecutive opportunities to type the correct password - if the third attempt is unsuccessful, the user is prompted to reset their password and the system sends a new password to the user's email address. The administrator is not automatically notified about this situation. Administrators can reset an individual's password provided they have admin permissions for the individual's group. |

Users can be deleted provided: There are no bookings which have been made by the user and which have not yet been completed. |
