Creating a booking code list

Booking codes can be provided as a dropdown list in the Booking screen. Administrators can set up a List-based set of booking codes by using a .CSV file or by manually adding booking codes to a list.

Before you start

1.Document the required booking codes:
a)If you intend to upload a .CSV file, create a file with one column of values. The header record is ignored when the file is imported.
b)If you intend to populate the list of booking codes manually, prepare a list of the codes that you will type into the system.
2.In order to add the contents of the list of booking codes you must either be in the screen Adding a New Admin Group or User Group and Viewing/Amending an Admin Group or User Group. Then go to the Booking Code panel.

Actions

1.Go the Booking Codes panel.
2.Choose the relevant booking code, go to the Field Type dropdown list and select List.

 

As booking codes are specific to an account, any group with access to the selected account uses the same booking codes.

When a booking code is modified, the latest modification is applied in all groups that use the account.

 

3.Click Enter Booking Codes.
4. To import a .CSV file
a)Go to the Upload CSV panel.
b)Browse for the .CSV file that you created, highlight it and click Open.

The grid in Current Booking Codes lists all the codes that the booker will be able to select from a dropdown list in the Booking screen.

It is possible to use the Amend and Delete links to modify or remove individual codes in the list BUT this will mean that your copy of the .CSV file will be out of step with the data being used by the system.

It is recommended that having uploaded the codes via a .CSV file, amendments should be made in the same way.

 

5. To create the list of booking codes manually
a)Go to the Enter Booking Code panel.
b)Type a code into the Description field.
c)Click Save.
d)Repeat these steps for each booking code in the list.

The grid in Current Booking Codes shows all the codes that the booker will be able to select from a dropdown list in the Booking screen.

Use the Amend and Delete links to modify or remove individual codes in the list.

6.Tick Show HelpText and then click Edit HelpText.

It is highly recommended that you edit the HelpText if the booking code(s) has been customised for your business.

7.Go to the next booking code field and repeat these steps if it is also a List-based field.

If the other booking code is going to be Text field, follow the instructions in Creating booking code validation rules.

8.When you have completed all the changes to the Booking Code panel, continue Adding a New Admin Group or User Group or Viewing/Amending an Admin Group or User Group.
